Linking Assets to Projects

Release Feature (LPD-58677) Liferay DXP 2026.Q3+

In the Content Marketing Platform (CMP), an asset appears in a project’s Assets view when you link it to that project or to one of the project’s tasks. Tags alone don’t add an asset to a project. Linking works the same for web content, documents, blogs, and videos, and one asset can link to several projects. You can link an asset while you’re editing it, from an asset’s Info panel, or in bulk from a list of assets. You can also remove a link and filter your assets by project.

Important

An administrator must activate the Content Marketing Platform for your Liferay DXP instance, using the feature flag and a CMP license. See Activating CMP.

Prerequisites

You must be a member of a Liferay CMS space, and at least one project must exist. Only a CMS Administrator can create a project, so if you have none, ask one to create it and name you as its Project Manager.

Linking and unlinking assets takes the CMS Administrator, Project Manager, or Project Contributor role. The linking controls still appear if Project Member is your only role on a project, but the link isn’t saved. See Project Roles and Permissions for the full breakdown. You also see only the projects you belong to, so a project missing from a selector is usually one you haven’t been added to.

Linking Assets While Editing

Link a project without leaving the asset you’re working on.

  1. Click Global Menu (Global Menu) → CMS → All, Contents, or Files.

  2. Click Actions (Actions) next to the asset and select Edit.

  3. Open the Projects panel from the icon bar on the right.

  4. Click the project selector and type part of a project’s name.

The Projects panel lists the projects you can link the asset to.

  5. Select the project.

A message confirms the link, and the project appears as a card in the panel. The card shows the project’s name, its due date when it has one, and a status badge reading Not Started, In Progress, Blocked, or Done. A project that has passed its due date without reaching Done shows Overdue in place of its state.

The link saves as soon as you select the project. You don’t wait for Publish, and you can link a project whether the asset is a draft, pending approval, or published. Reopen the asset and the link is still there.

You can’t link the same project twice. Once a project is linked, it no longer appears as an option in the project selector.

Each linked project appears as a card showing its due date and status.

Linking Assets From the Info Panel

The Info panel links an asset to a project without opening the editing view.

  1. Click Global Menu (Global Menu) → CMS → All, Contents, or Files.

  2. Click Actions (Actions) next to the asset and select Show Details.

  3. Click the More tab and select Projects.

  4. Click the project selector and select a project.

The project appears as a card, exactly as it does in the editing view, and the link saves at once.

The More tab in the Info panel contains Projects, which lists the asset's linked projects.

Linking Assets in Bulk

One action links several assets to one or more projects.

  1. Click Global Menu (Global Menu) → CMS → All, Contents, or Files.

  2. Select the assets with their checkboxes.

  3. Click Actions (Actions) and select Add Assets to Project.

The bulk Actions menu includes Add Assets to Project.

  4. Under Select Project, click the project selector and choose a project. Repeat to add the assets to more than one project.

Each project you choose appears as a card in the dialog. Click Remove on a card to drop that project before you click Confirm. If the space has no projects, the dialog reads No Projects Yet and Confirm stays unavailable.

  5. Click Confirm.

A message confirms the action started, and the action runs in the background. You can keep working while it runs. A second message names the assets and the projects they were added to when it finishes.

Folders can’t be linked to a project. Selecting a folder along with your assets links the assets and skips the folder.

You can also link an asset from a task’s Assets section. See Tasks.

The Add Assets to Project dialog lists the projects you chose before you confirm.

  1. Open the asset’s linked projects from the editing view’s Projects panel or the Info panel’s Projects tab.

  2. On the card for the project you want to unlink, click Remove.

Each linked project card has a Remove icon that unlinks the project from the asset.

The asset no longer appears in that project’s Assets view. Removing the link doesn’t delete the asset.

Moving an asset to the Recycle Bin also removes it from every linked project’s Assets view, and restoring the asset brings it back.

Filtering Assets by Project

Filter a list of assets down to the deliverables produced for a campaign.

  1. Click Global Menu (Global Menu) → CMS → All, Contents, or Files.

  2. Click Filter, then select Project. This filter appears only when CMP is activated.

  3. Select one or more projects. Type part of a project’s name to find it.

The list shows how many results match and which projects you filtered by. The Project filter works with the other filters on the All, Contents, and Files sections, so you can narrow the list further. To see more results, remove the Project filter, or click Clear to remove every filter at once.

The results bar names the applied Project filter, the number of matching assets, and the Clear link.

To see the same links from the project’s side, open the project and click its Assets tab. See Projects.
