Content Management System Dashboards and Analytics

The Content Management System (CMS) provides two ways to access analytics: the CMS Overview Dashboard for aggregated insights across spaces and assets, and in-context analytics for asset-specific, task-focused metrics.
CMS Overview Dashboard
The Overview Dashboard provides a high-level view of assets across spaces, helping you monitor performance, track usage, and make operational decisions.
To open the Overview Dashboard,

Open the Global Menu (
) and click CMS. - 
In the left menu, click Dashboard.

Use the All Spaces and All Languages buttons at the top to filter results by space and language (1).
 
The dashboard has three main sections:
- 
What’s New (2):
Shows metrics for newly created content and files in the selected date range (3) (Last 24 Hours, Last 7 Days, Last 28 Days, Last 30 Days, Last 90 Days, or Custom Range), with percentage changes compared to the previous period. Displays the number of related vocabularies, categories, and tags (4).

Assets Distribution (5):
Shows assets grouped by (6) category, vocabulary, tag, or content structure label, helping you identify which structures or categories hold the largest share of assets.
Filter the results by:
- Content structure types (7)
 - Vocabularies (8)
 - Categories (9)
 - Tags (10)
 
View the results in Chart or Table format (11).
 - 
Health and Usage (12):
Lists assets that have reached their expiration date, along with usage counts and quick access to view each asset.
Click View Asset to open an expired asset.
 
These sections combine to give content managers an overview of repository growth, content distribution, and expired assets that may need attention.
In-context Analytics for Assets
An Analytics Cloud connection to Liferay DXP is required to view in-context analytics.
In-context analytics displays performance data for individual assets directly in the CMS interface. It provides quick, asset-specific insights so CMS users can make data-driven decisions without leaving the Assets section.
To view in-context analytics,
- 
Open the Global Menu (
) and click CMS. - 
In the left menu, click All, Contents, or *Assets.
Alternatively, navigate into a space and click View All Content or View All Files.
 - 
Select the asset you want to analyze and click (
).Alternatively, click Actions (
) next to the file → Show Details. - 
Open the Performance tab to view Analytics Cloud metrics.
 - 
If Analytics Cloud is not connected to DXP, click Connect and follow the set-up instructions.
 - 
If no sites are connected, click Connect and select a site.
 - 
If sites are not synced, click Sync to go to the Analytics Cloud properties, where you can sync them.
 
Only administrators can connect DXP to Analytics Cloud, select sites, and sync them.

The Performance tab has three sections:

Overview:
Filter (1) by channel (connected sites) and time range (Last 7 days or 30 days).
Displays key metrics depending on asset type:
- Impressions (2): Times the asset was previewed by visitors.
 - Views (3): Times the asset was viewed or opened.
 - Downloads (4): Times the asset was downloaded (available for files).
 
Each metric includes trend indicators (e.g., ▲ +3.8%) to highlight changes over the selected time range.

Views by Traffic Channels (5):
Lists the main traffic sources generating views:
- Direct
 - Social
 - Affiliates
 - Referral
 - Paid Search
 - Display
 - Others
 
NoteThe interface shows the top 5 channels plus Others, which aggregates the remaining 3 sources.
For each channel, you see total views and percentage of total traffic, helping you understand where your audience is engaging most.

Top Pages Asset Appears On (6):
Lists pages that include the asset and drove the highest views. Each entry shows:
- Site and page title
 - Views
 - Percentage of total views
 
This helps identify which placements contribute most to the asset’s performance.
